What your people get

The full Pro app, the same one individuals pay $34.99 a year for. Unlimited cards, unlimited smart scans, encrypted sync across their devices, cloud backup and restore, the Apple Watch app, widgets, and the nearby alerts that are the point of the whole thing.

What you get

One bill instead of an expense report per person. Seats assigned and revoked in Apple Business Manager, alongside every other app you already deploy that way, with no separate console to learn and no admin account to provision.

What you will not get, and we would rather say so here than in a meeting: we cannot tell you what any individual employee has in their wallet or whether they spent a particular card. Their cards are theirs. That is the promise the app is built on and we are not going to break it for a reporting dashboard.

When somebody leaves

This is the question that should decide whether you buy per-seat software, so here is the exact answer.

You remove their seat in Apple Business Manager, the same way you remove any other app.
They keep full Pro for 30 days, and they are told clearly what is happening and when, with the option to carry on at the personal price.
After that, every card they already had stays in their wallet, working, forever. The free plan's three-card limit applies only to cards they add afterwards.

Nobody's wallet is ever held hostage to get them to pay. They can export everything at any point, whether they stay or go.

Where this stands, honestly. Apple is adding volume purchasing for app subscriptions this fall, expected in late October, and that is the mechanism this runs on.
